Build Only the Internal Tool You Need Before a Contract Renewal
Before renewing an existing business software contract, a small company can isolate one essential workflow, build it with AI assistance, and add automated checks instead of paying for an expensive bundle.

Pulling out only the needed part of an expensive bundle
Irish company Zyte released an internal operations tool called minimal on August 11, 2026. The company said it had previously paid about $5,000 a month for business software to manage project progress and forecast revenue, while using only about 20% of its features.
The new tool brought together project status and forecast revenue, then added contract renewals, customer churn, infrastructure costs, and work spread across multiple spreadsheets. It began as a personal experiment in late October 2025 and started being used for real work about nine months later.
Its monthly server bill is said to be about $70. That figure excludes employee time, AI tool fees, security, and maintenance, so it should not be compared directly with $5,000.
Automated checks were the most important part of getting it ready for work. By July 2026, the team had accumulated about 3,600 tests that detect regressions when features change. They also reduced the risk of forgetting earlier decisions by writing design rules down.
The opening is one workflow, not a company-wide system
The available material does not identify any policy exception, new regulation, or support programme. The practical window opens when an existing service can be cancelled and closes at the next contract renewal date or cancellation deadline.
Zyte's contract schedule has not been disclosed and needs verification. So the starting point is not “let's replace everything.” It is counting the features your team actually uses in a service approaching renewal.
A first screen might contain only customer name, owner, project status, contract value, and next renewal date. Then write down each action people currently take, one line at a time—for example: “Notify the owner when a contract ends within 30 days.”
Write down completion criteria too. For example, the revenue total must match the existing month-end report; general staff must not be able to edit another team's contracts; and deleted information must be recoverable.
Cancelling the existing service immediately is risky. It is better to compare the numbers in both tools for about a month, choose someone who can approve work when the owner is away, and define a manual fallback process for errors before switching.
Others have already started small
Canadian security advisory firm Teclara Technologies replaced four paid services used for customer management, quotes, revenue calculations, and internal documents with internal tools. One employee built them with AI assistance in two weeks, and the company said it eliminated about $12,000 a year in subscription fees.
UK company Graph Digital chose one narrow workflow: reconciling accounting data and classifying exceptions. The company said an experienced employee built it in less than a day and that it had no operational failures over six months. Both cases are self-reported and need independent verification.
