Shapes from three separate flat planes converge into a central reconciliation inbox. Mismatched pieces are separated into another compartment, while matching pieces continue in one direction.

Build a reconciliation inbox that collects only purchase order, receipt, and invoice mismatches

By putting only the differences between purchase orders, goods-receipt records, and tax invoices in one place, small and midsize manufacturers and distributors can resolve payment holds and supplier corrections without replacing a large accounting system.

Document matching is still separate manual work

Manufacturers and distributors compare purchase orders, transaction statements, goods-receipt records, and tax invoices. They connect transaction evidence to identify differences in quantity, unit price, supply value, and supply date, then may pay the amounts that match first.

In 2024 statistics published by the Ministry of SMEs and Startups (중소벤처기업부), the Korean government ministry responsible for small and medium-sized enterprises, revenue at SMEs excluding small merchants totalled KRW 2,085 trillion. Wholesale and retail accounted for KRW 649 trillion, and manufacturing accounted for KRW 638 trillion. Together, these sectors made up well over half of the total, concentrating the repeat transactions that involve ordering, delivery, and settlement.

Among surveyed SMEs, 16.7% were suppliers that receive orders from other companies and deliver goods. Transactions with commissioning companies accounted for 67.3% of their revenue, rising to 72.5% in manufacturing. When settlement is delayed, payment timing for most of their revenue can be disrupted at once.

New One Electric, an electrical-materials distributor, purchased more than 15,000 items from about 150 suppliers and sold to about 300 customers. In its published case study, staff entered transaction statements into accounting software and then manually compared them with purchase orders. The process took time and caused errors, while delayed purchase and sales settlement led to delayed payments to suppliers.

Leaving differences unresolved can also create tax issues. The National Tax Service (국세청), Korea's tax authority, says input tax may not be deductible when required information on a tax invoice differs from the facts. It also says late issuance can trigger an additional tax equal to 0.5% to 2% of the supply value. At a supply value of KRW 100 million, even 1% is KRW 1 million, making small entry differences hard to leave until month-end.

The first customer is where settlement is already backed up

Consider a hypothetical first user: the purchasing and accounting lead at a 12-person electrical-materials distributor. The company finds purchase orders in its accounting software, copies quantities from transaction statements into a goods-receipt ledger, and compares those figures again with tax invoices received at month-end.

When quantities differ, the lead asks warehouse staff how much actually arrived. When unit prices differ, they search the buyer's email for an agreed change. If returns are involved, they call the supplier for a corrected document and record the reason for the payment hold in a separate list until a response arrives.

The problem is not only finding a difference. Who is checking it, what the supplier has promised to send, and whether the matching amount can be paid first are scattered across calls and emails. When the responsible person is away or changes roles, the same explanation and evidence must be collected again.

What is needed is not a product that replaces the existing accounting system. A small reconciliation inbox can accept purchase orders, goods-receipt records, and tax invoices; show quantity and unit-price differences by item; and attach statuses such as warehouse confirmation, purchasing confirmation, supplier correction request, and ready for payment.

The first ten customers may be electrical-materials wholesalers, industrial-material distributors, and parts manufacturers that create purchase orders digitally but receive goods-receipt forms and transaction statements on paper or as electronic files. Business groups in local industrial complexes, electrical and industrial-material wholesale markets, and referrals from tax accountants with manufacturing clients are places to meet them.

They are not paying simply to store documents. They are paying to close payment-blocking cases quickly, reduce repeated supplier errors, and retain evidence for explaining the situation to an owner or tax agent at month-end. A case can be considered complete when it includes a cause, an owner, a response deadline, a final payment amount, and a correction document.

Some work must clearly remain with people. Staff or tax professionals need to decide whether goods actually arrived, whether to accept defective items, whether a changed price was agreed, and what tax treatment is appropriate. The service should not replace that judgment. It should make sure the right person and evidence are not missed.

Elsewhere, teams pass through clean cases and review only the differences

Amigo Mobility, a US mobility-equipment manufacturer, used ZoneCapture and ZoneApprovals to transfer electronically received invoices into its accounting system, match purchase-order numbers and items, and send them to approvers. It began by reducing the time spent entering and matching documents.

According to the supplier's case study, the company saved more than 700 hours annually and cut processing time by 75%. At eight hours a day, that is roughly 87 working days, but the figures were published by the supplier and should be verified before application.

Huuskes, which supplies food to care and catering facilities in the Netherlands, adopted Medius to match purchase orders, goods-receipt records, and invoices by item. It handled follow-up on mismatches in the same workflow rather than through email.

In an environment processing 55,000 cases annually, the supplier said the share of cases passing through without human handling rose from 40% to 65% during the first nine months after implementation. The product principle—pass through normal cases and collect only differences—can also apply to smaller companies.

US manufacturer Ortho Molecular Products first changed the work of moving paper purchase orders, delivery notes, and invoices between sites to match them. SoftCo presented all three documents on one screen and enabled staff to review only cases with differences.

According to the supplier, about 80% of roughly 30,000 annual cases were processed without human intervention, and throughput doubled without adding staff.

Four ways to start small

1. Delivery discrepancy reconciliation inbox

This service extracts only quantity and unit-price differences across purchase orders, goods-receipt forms, and tax invoices, then sends them to the responsible person. It is for electrical-material wholesalers whose purchase orders sit in accounting software while goods-receipt forms arrive on paper. Electronic tax invoices and electronic documents have increased, but people still compare them because they are not connected. The first screen ranks unresolved cases by largest amount and overdue response deadline.

2. Supplier correction-request link

When a difference is found, this service lets a supplier submit the cause and correction document without creating an account. It is for a purchasing lead at a second-tier automotive-parts supplier that frequently receives parts in split deliveries from partner companies. Explaining the issue by phone and waiting for email are a large part of payment delay, so organizing the response channel alone can show whether it helps. The first screen shows request date, supplier, discrepancy amount, promised response date, and whether a corrected tax invoice has arrived.

3. Unit-price change log

This service links the old price, new price, effective date, and agreement document, then checks whether subsequent invoice amounts are correct. It is for small manufacturers that frequently reflect price changes for sheet metal or packaging materials. Because raw-material price changes can become a supplier-payment adjustment issue rather than a simple entry error, the agreement needs to be recorded from the point it is made. The first screen shows prices before and after the change, affected purchase orders, unagreed transactions, and affected tax invoices.

4. Month-end evidence bundle

This service creates a bundle of the purchase order, receipt confirmation, return record, supplier response, and corrected tax invoice for every payment-held case. It is for the owner of a parts distributor that sends month-end materials to an external tax agent rather than employing an in-house tax specialist. When a tax invoice's amount and supply date do not match, evidence is needed to explain the facts before filing. The first screen shows incomplete cases for the month, missing evidence, payable amounts, and readiness to send materials to the tax agent.

Why this matters where you are

Check whether buyers and suppliers in your market still reconcile purchase orders, delivery or receipt records, and invoices across separate systems, files, and messages. The tax documents, payment practices, and local channels for reaching customers may differ, but the workflow question is the same: can routine matches move through while people focus on the exceptions? Start by testing whether one unresolved discrepancy already requires several people and several communication channels.

Make one call today

Call an accounting contact at one electrical-materials wholesaler or parts manufacturer. Ask whether, in the past month, a difference between a purchase order, goods receipt, and tax invoice caused a payment to be stopped. If there was at least one case, two or more people took part through calls or email, and they are willing to try the next discrepancy on one screen, the first product may be worth building.
