Cheap phone AI makes restaurant reservation safety nets possible
Now that automated phone handling costs around KRW 20,000 a month, even small restaurants can combine human handoff, missed-request recovery, and customer updates into a reservation safety net.

What happens after automated answering now matters more
KT’s AI phone service for restaurants offers business-hours and location information, plus reservation intake, for KRW 19,800 per month on a three-year contract. That is about KRW 660 a day: a very different level of expense from hiring someone to answer calls.
At that price, even a small restaurant can have a phone channel that answers all day. Restaurants can already buy established products from KT and other providers to automate repeated questions.
KT said that, as of March 2023, the service had about 32,000 subscribers and had handled more than 30 million customer inquiries since launch. In the same month, 41% of inquiries were about business hours, 26% about reservations, and 21% about parking. That means roughly one in four calls concerned reservations.
But automated answering can stop working too. KT’s sales information says its AI phone may not work when it conflicts with existing call-forwarding or automated-announcement settings. It also says call recording may not work, or AI calls may be excluded from recording.
Customers do not care which technology failed. They care whether the call reaches another person, whether their reservation request exists, and when they will hear back. With phone automation now available for around KRW 20,000 a month, small restaurants can build a reservation safety net that combines human handoff, recovery of missed requests, and customer updates.
Follow a 24-seat wine bar with three staff members
Imagine a 24-seat wine bar run by three people. When evening preparation overlaps with serving guests, the owner misses calls, then looks through missed numbers after closing and decides whom to call first.
Even when someone answers, they write down the date, time, party size, and name on paper, then enter them again into the reservation book and copy special notes into the staff group chat. When a customer calls to change a booking, staff must check whether the first note and the reservation book match. A missed high-chair or allergy request may only surface just before the visit.
With automated answering, repeated questions about business hours, parking, and available seats can be handled immediately. But if an external phone service or the reservation book stops working, a more dangerous outcome can follow: the caller hears that the reservation is complete, while nothing appears in the actual book.
That means changing the definition of completion in normal operation. It should not end when the system collects a date, time, party size, and contact details. A booking should be marked as “confirmed” only after both the reservation-book entry and the customer confirmation message are complete.
If the system cannot answer or cannot write to the reservation book, it should immediately route the call to a staff mobile phone. If no staff member can answer, it should tell the customer: “Your reservation request has been received, and a staff member will contact you again.” It should leave the number and request details in an unconfirmed list.
When service returns, staff should compare call records from the outage period, the unconfirmed list, and the actual reservation book side by side. They should contact customers again to ask whether they want to keep the reservation. If they find duplicate or missing bookings, the restaurant should first offer an alternative time and a cancellation method.
Some work clearly remains with people. Staff should handle requests that require judgment, including group bookings, seating preferences, allergies, deposits, and complaints. AI is less a tool for removing people than a tool for gathering the calls that people cannot afford to miss in one place.
Restaurants abroad build fallback routes too
Atlas Restaurant Group in the United States deployed PolyAI’s phone handling and Sangoma’s communications system across 22 locations. Calls that AI could not handle were routed to staff extensions or a number answered by several staff members. If every AI response channel went down, calls were designed to fall back to voicemail.
The point of this example is not how naturally AI speaks. It is that the business did not remove the final path for a customer to leave a message, even when all external services stopped. Pricing and the number of recovered reservations were not disclosed, and the setup and results come from the implementation provider’s own announcement.
Hawksmoor, a UK steakhouse group, connected phone reservations at 14 locations to PolyAI and the OpenTable reservation book. According to the supplier, it eliminated about 42,000 missed calls per year, which had accounted for 20% of all calls, and handled reservations for 80,000 people by phone from July 2025 onward.
However, large groups and special requests still go to staff. Rather than automating every conversation, the operation gives the machine only work with clear rules, such as checking available tables.
The Restaurant People in Florida, United States, used Slang AI across 13 restaurants. According to the supplier, it took 62,095 calls over four months, including 13,400 simultaneous calls, and handled more than 3,200 reservations.
The service’s published starting price was USD 399 per location per month, or about KRW 530,000 in the cited material. That is more expensive than products in Korea that cost around KRW 20,000 per month, but it shows what small domestic services could eventually offer by bundling immediate staff handoff with reservation-book entry.

3. A reservation confirmation checker
- What it does: Compares reservations received by phone with the actual reservation book to find items that appear on only one side.
- Who uses it: A family-run restaurant that uses phone calls, Naver Booking (네이버 예약), and a paper reservation book together.
- Why now: The cost of turning what automated answering hears into written text has fallen, but the last step—checking that it entered the reservation book—still remains unfilled.
- First screen: Show three groups: “Only in phone calls,” “Only in reservation book,” and “Time or party-size mismatch,” with a customer-contact button.
4. An outage update sender
- What it does: Sends customers who called or tried to book during an outage a batch update on the situation and how to reconfirm.
- Who uses it: An omakase or small-course restaurant where prepaid and same-day reservations are common, so an outage can quickly lead to refund questions.
- Why now: Call records can be sorted automatically, so staff do not need to find each number and write each message one by one.
- First screen: Show the number of affected customers, recipients, the update text, and a deadline for re-contact. Let staff edit the wording before sending.
Check just ten missed calls today
Ask a restaurant you know to spend 30 minutes comparing ten recent missed calls with its reservation book. If two or more of the returned calls turn out to be reservation inquiries, or if there are numbers with no record of who called them back, it may be worth building a callback list and completion marker before investing in automated answering itself.
Why this matters where you are
Check whether low-cost phone automation is already available in your market, and whether it can hand off calls, write into a reservation system, or preserve a message when connected services fail. Prices, booking tools, and phone-routing rules will differ by market. But the operational question is the same: can staff see every unfinished reservation request and know when it has actually been completed?
